In your pivotal role as a Lead Administrative Assistant you will serve as administrative lead for an executive faculty member based in Vanderbilt University Medical Center who has roles and responsibilities across the campus and the country including serving as Associate Dean for Clinical and Translational Scientist Development, Deputy Director of The Institute for Medicine and Public Health, Director of Graduate Studies, leader of multiple training programs for early career researchers, and chairing a National Institutes of Health multi-site research network. You will independently guide daily operations and provide administrative and business support. Your responsibilities encompass balancing competing scheduling demands, assuring activities and obligations of the full team dovetail, serving as a conduit for confidential information, coordinating activities and events to maximize reach, directly serving key needs of constituents, and authorizing payment of program related expenses. You will also serve as a liaison with internal/external groups.
Maximizes the success of the team, our initiatives, and lead faculty by implementing approaches to smoothly integrate divergent time demands, meetings, travel, and event scheduling.
Oversight of the full sweep of program calendar, process management timelines, and goals.
Performs key administrative functions which may include serving as representative for faculty leadership and the Office of Clinical Translational Scientist Development, and Edge for Scholars.
Proactively facilitates and manages administrative functions to maximize coordination among components and projects.
Supports and coordinates area initiatives, including contributing to strategy.
Compiles data, analyzes information and summarizes findings to map metrics for the area and optimize performance.
Analyzes and prepares budgetary data for selected program projects, budget lines, and constituents.

Clerical/Administration skill includes most clerical and administrative functions typically carried out by secretaries and administrators. Among the duties are: Ad Hoc Reporting, Calendar Maintenance, Data Entry, Document Duplication, Document Filing and Maintenance, Document Preparation, Drafting and Editing Correspondence and Other Documents, Employee Record Maintenance, Employee Time Recording, Faxing and Electronic Mailing, Inventory Management, Mail Sorting and Distribution, Meeting Coordination and Scheduling, Message Management, Receptionist Tasks, Special Projects, Spreadsheet Preparation, Travel Arrangements, and Word Processing and Typing.

Ability to monitor costs, expenses and revenue as well as the ability to manage those costs and expenses in relation to budgeted amounts.
AD HOC REPORTING (INTERMEDIATE):
The ability to access information from databases and prepare reports. Experience with process management for teams that conduct multiple simultaneous projects and ability to summarize and report progress towards goals.

In collaboration with the VUMC Human Research Protections Program (HRPP), the Translational Research Navigator II assists with the optimal application of the Federal, State, and local laws, guidance documents, VUMC Institutional policies, and Institutional Review Board (IRB) policies and procedures while meeting the objectives of the VUMC research community. Consults on complex research and regulatory issues in conjunction with the team(s) to identify solutions and develop improvement processes. The TRN II researches topics of departmental, institutional or strategic importance.
