Associate Program Manager
Job Summary:
This position is in the Center for Health Services Research within the Institute for Medicine and Public Health. This role will be responsible for coordinating and supporting a wide variety of programmatic and administrative activities within the Center and the Institute.
The position requires excellent communication and collaboration skills and the ability to support multiple members of the Center and the Institute. The role requires a resourceful individual who can take initiative to gather suitable information and data to address tasks and complete assignments in a timely manner.
In this role, you will serve as a key resource for assigned faculty by providing administrative support for their research and academic roles. In addition, this role will perform office support activities, work with program and administrative staff to assist with preparing documents for grant applications, and other programmatic and administrative support activities for faculty and staff.
Expected responsibilities include but are not limited to the following:
- Coordinate internal and external program activities which may include research and education meetings, events, seminars, and workshops
- Prepare informational materials and disseminate to appropriate audiences
- Coordinate facilities and ensure all logistics and materials are prepared for events and meetings
- Provide administrative support to faculty which may include meeting scheduling and coordination
- Assist faculty with arranging business travel and processing expense reports, which may include arrangements for external guests and speakers
- Maintain familiarity with VUMC travel and reimbursement policies
- Manage inventory and make purchases of supplies and equipment for assigned programs
- Update and maintain various documents, informational materials, websites, lists, etc. related to faculty's research and academic roles
- Support faculty in the preparation of materials for publication, including copy editing and formatting documents, manuscripts, papers, etc.
- Seek information online and in journals in support of academic initiatives; perform a literature search through PubMed or other established electronic journal databases
- Provide support for research activities which may include data collection, database management, data analysis, preparation of charts, graphs, and tables
- Provide support for office management activities which may include purchasing supplies and equipment, coordinating conference room utilization, coordinating work orders, coordinating space and equipment needs, serving as a liaison with vendors, and other activities to support office operations
- Partner with program and pre-award staff to prepare or modify documents for grant applications, including biosketches and training tables
- May work with faculty and staff to draft parts of grant applications
- Other duties as assigned

Additional Information:
This is a full-time non-exempt position; M-F; 40 hours per week.
Salary is dependent upon education and experience.
